Liveaboard Sailboat Weekly Checklist and Routine. What Is a Practical Weekly Reset Routine for Liveaboards? A weekly reset is a planned maintenance and logistics period used to return a liveaboard yacht to a known operating condition. It combines laundry, waste removal, provisioning, water and fuel checks, administrative work and basic vessel inspection. The reset prevents small shortages, accumulated waste and unfinished paperwork from interfering with departure, weather decisions or maintenance work.
Complete the reset while the yacht has access to waste disposal, food shops, potable water, communications and laundry facilities. Do not leave these tasks until the planned departure day. A failed washing machine, closed fuel dock, rejected payment card or unavailable water point can delay the yacht after the sailing window has opened.
The routine works best when performed in the same sequence each week. Inspect and count before buying. Remove waste before bringing provisions aboard. Wash clothing and linen while completing shore-based administration. Refill consumables according to measured use rather than replacing arbitrary quantities. Finish by recording the yacht’s actual readiness state.
Begin with the expected movements for the next seven to fourteen days. Establish whether the yacht will remain alongside, move to an anchorage, undertake a coastal passage or depart for an area without services. This determines the quantity of water, food, fuel, cash and consumables required.
Check the weather forecast, tidal constraints, port restrictions and expected passage duration before setting provisioning quantities. A yacht remaining near a serviced port requires less reserve than one moving to an exposed anchorage or isolated island. Include one additional period of food and water for delays caused by weather, machinery failure or a closed harbour entrance.
Confirm the planned departure date and work backwards. Tasks involving opening hours, transport, fuel docks, gas suppliers, customs offices, laundries or parcel collection require completion before general cleaning and stowage. Record fixed appointments and deadlines in one place. Do not depend on separate notes stored across telephones, email accounts and paper notebooks.
The reset begins with a physical inventory. Do not construct the shopping list from memory. Inspect each locker, refrigerator compartment, freezer compartment, dry store, cleaning locker, medical locker and technical consumables box.
Check quantities and condition. Remove food affected by mould, leakage, insect activity, damaged packaging or loss of refrigeration. Examine fresh produce for items that can contaminate the remaining stock. Separate produce requiring immediate use from produce suitable for continued storage.
Check use-by dates where they affect food safety and note open containers that require consumption. Rotate older stock to the front. Store replacement items behind existing stock. This reduces concealed duplication and prevents older provisions remaining unused.
A use-by date is a food-safety limit; do not eat the product after that date, even when it appears or smells normal. A best-before or best-by date indicates expected quality rather than safety, so an unopened product stored as directed may remain usable after the date, although texture, flavour or nutritional quality may decline. Sell-by and display-until dates control retailer stock rotation and are not consumer safety deadlines. Packed-on, manufactured-on and baked-on dates identify production timing rather than expiry, while expiry dates may indicate either safety or quality depending on the product and country. Once packaging is opened, damaged, swollen, leaking or stored outside the stated conditions, the printed date no longer provides a reliable shelf-life limit.
In the United States, Best By and Best if Used By indicate when the manufacturer expects peak quality; they are not food-safety deadlines. A Use By date normally marks the end of peak quality rather than a safety limit, except for infant formula, which must not be used after its Use By date. Sell By controls store inventory, while Freeze By identifies when freezing is required to retain quality. Pack dates and coded dates identify production batches and do not state consumer shelf life. Except for infant formula, federal law does not require food date labels, although state requirements vary; storage temperature, package condition, opening date and signs of spoilage remain the controlling factors.
Regardless of the printed date, discard food when the following is observed:

Do not count emergency reserves as normal weekly stock. Emergency drinking water, passage food, medical equipment and machinery spares remain allocated to their specific purpose unless an immediate operational requirement requires their use.
Remove rubbish, recycling and sanitary waste before loading food or clean laundry. This creates working space and prevents waste bags obstructing the companionway, cockpit or tender during the return trip.
Separate waste according to the disposal system available ashore. Empty containers before placing them in recycling. Flatten cardboard only when it is dry and free from food contamination. Seal waste containing meat, fish, dairy products or sanitary material. Clean the waste locker after removing the final bag. We use an antibacterial wipe and you can use a spray.
Do not discard plastics, synthetic rope, fishing line, metal, glass, food packaging, oil, batteries or sanitary waste overboard. Used oil, oily absorbent material, fuel filters, paint residue, solvents, chemicals, batteries and electronic waste require the applicable controlled disposal facility. Keep these materials in labelled, sealed containers until an authorised collection point is available.
Inspect the yacht for concealed waste. Common locations include cockpit lockers, the tender, engine space, workbench, navigation station, heads compartments and bags used during the previous shore trip. Remove empty chemical containers from machinery spaces rather than allowing them to become permanent locker contents.
Wash and dry the rubbish bin before fitting a new liner. Check the lid and retention method. A bin that can overturn during a tack or heavy roll is not securely stowed.
Collect clothing, towels, bedding, galley cloths and cleaning rags. Separate items contaminated with fuel, oil, solvents, antifouling residue or sewage. Do not place contaminated technical rags in a domestic laundry load. Store and dispose of them according to the substance involved and the available shore facility.
Wash bedding and towels on a cycle based on actual use, humidity and drying conditions. Damp textiles create odour and mould inside enclosed lockers. Laundry is not complete when washing ends; every item must be dry before it returns below.
Use the laundry period for tasks that require a shore connection or reliable communications. These include banking, software updates, account checks, document downloads and email. Keep the laundry physically attended where the facility requires it. Record machine numbers and cycle completion times rather than repeatedly interrupting other work.
Inspect clothing while folding. Repair loose buttons, failed seams, damaged zips and torn wet-weather gear before stowing the item. Remove clothing that no longer fits, cannot be repaired or has no operational use aboard. Locker capacity is limited, and unused textiles retain moisture and restrict ventilation.
Return clean laundry directly to its assigned locker. Do not leave it in bags on a berth. Keep one accessible change of dry clothing and one dry towel available while the remaining laundry is being processed.
Build the provisioning list from the physical inventory and sailing plan. Divide it into fresh food, chilled food, frozen food, dry goods, drinking water and non-food consumables. Grouping reduces time with chilled products outside refrigeration.
Buy heavy and non-perishable goods first. Buy frozen and chilled products last. If travel time from the shop to the yacht is significant, use insulated bags and cold packs. Return directly to the yacht after purchasing temperature-sensitive food.
Load the yacht in a controlled order. Transfer chilled and frozen food into refrigeration first. Stow heavy containers low and close to the yacht’s centreline. Keep glass restrained. Do not place cans or rigid packaging where movement can damage the hull lining, wiring or hoses.
Remove unnecessary outer cardboard before bringing goods below where local biosecurity and marina waste facilities permit. Cardboard absorbs moisture and can carry insects. Retain labels, cooking instructions and batch details when these remain necessary.
Record the location of reserve food placed in deep lockers. A provision is not operationally available when nobody can find it. Maintain a short locker inventory for goods stored under berths, behind machinery access panels or in infrequently opened compartments.
Plan meals around storage life and refrigeration capacity. Use delicate produce and opened chilled food early. Retain dry and long-life provisions for the later part of the week or passage. Do not fill the refrigerator so tightly that internal air circulation stops.
Read the water-tank level before filling. Compare the remaining quantity with the previous week’s figure. The difference provides an approximate consumption rate and may expose leakage, excessive use or an inaccurate gauge.
Inspect the deck-fill area before opening it. Clean dirt and salt from around the cap so contamination does not enter the tank. Confirm the water hose is intended for potable-water service. Flush stagnant water from the hose before connecting it to the yacht.
Remain at the fill point during filling. Do not rely on the tank vent to indicate a safe stopping point. Water discharged through the vent can enter the hull, damage stored equipment or wet interior linings, depending on the installation.
Inspect the cap seal after closing it. Confirm the vent is clear and that no water has appeared in the bilge or tank compartment. Update the water record with the quantity loaded where metering or container volume makes that figure available.
If watermaker production forms part of the weekly supply, record operating hours, product-water quality and quantity produced. A change in production rate, pressure or salinity requires investigation before relying on the unit for departure.
Record diesel levels using the most reliable method fitted to the yacht. Compare the remaining quantity with engine hours, generator hours and heater use. Tank gauges can be inaccurate when the yacht is heeled or when tank shape is irregular.
Determine whether fuel is required before departure. Account for propulsion, battery charging, heating and reserve requirements. Inspect the filler cap, deck seal and vent opening. Remove water or contamination around the fill point before opening it.
Check cooking-gas cylinder status without deliberately venting gas. Confirm the spare cylinder is filled, isolated and secured. Inspect the locker drain and verify that loose equipment has not obstructed it. If the regulator, hose or fittings show damage or a gas alarm activates, isolate the cylinder and investigate the system before further use.
Check charging credit, shore-power payment arrangements, marina electricity meters and prepaid utility accounts where applicable. A yacht can hold adequate physical supplies and still lose access to electricity, water or communications because an account was not renewed.
Use the reset to close outstanding administration. Review marina charges, fuel receipts, maintenance purchases, insurance correspondence and passage expenses. Photograph or scan receipts that must be retained. Enter expenses while the transaction remains identifiable.
Check passports, visas, vessel registration, insurance documents, radio licences, cruising permits and port clearances against upcoming movements. Record expiry dates. Keep electronic copies available offline because mobile service may fail during arrival or inspection.
Download charts, notices, weather files, cruising permits and port documents required for the next movement. Confirm that downloads open without an internet connection. Synchronisation icons do not prove that a complete local copy exists.
Update the maintenance log. Record engine hours, generator hours, watermaker hours, fuel loaded, defects found and work completed. Transfer unresolved defects to the active work list. Do not leave defects only in diary text where they can be overlooked.
Check banking access, payment cards, cash requirements and account balances before leaving a serviced location. Resolve failed cards or expired authentication methods while communications and branch access remain available.

The weekly reset is not a substitute for a full inspection, but it provides a fixed opportunity to identify developing faults. Walk the yacht from bow to stern and from masthead systems to bilge level.
Check mooring lines, fenders, anchor controls, deck fittings, guardrails, tender security and deck drainage. Below deck, inspect the bilge, seacocks, hose connections, batteries, charging equipment, refrigeration and heads. Open machinery spaces and check for fuel, oil, coolant or seawater leakage.
Test smoke, carbon-monoxide, gas and high-water alarms according to their installed test functions. Check handheld lights, portable radios and charging leads. Confirm emergency access routes are not blocked by provisions, laundry or equipment moved during the reset.
Clean the galley, heads and frequently touched surfaces. Dry the shower compartment and ventilate bedding lockers. Remove salt from metal fittings before corrosion develops beneath deposits. Return tools and maintenance materials to their assigned positions.
Finish with a written status check. Record water, fuel, cooking gas, food endurance, cash, communications, laundry status, waste status and outstanding defects. Note the earliest realistic departure time and any task that depends on a business, marina office or service contractor.
A completed reset leaves no rubbish awaiting disposal, no wet laundry below, no unrecorded purchase, no unidentified shortage and no critical shore task deferred to departure morning. The yacht then has a defined operating state. When the forecast or passage plan changes, the skipper can make a departure decision from recorded quantities and known defects rather than assumptions.
