AI boat provisioning can help a skipper turn a crew list, passage duration and stock count into a meal plan and shopping list. It can compare quantities, suggest meals from ingredients already aboard and organise provisions by storage location. The practical benefit is less repeated administration and a clearer record of what the boat carries.

The plan still needs checking against the actual crew, galley and lockers. AI does not know whether a packet is damp, a can is damaged or the refrigerator has remained cold unless reliable information is supplied. AI Boat Provisioning - Start with the passage and crew

Give the assistant the number of people, planned duration, expected resupply opportunities and a separately stated allowance for delays. Include dietary restrictions, allergies, familiar meals and any limitations on cooking underway.

Distinguish a confirmed resupply stop from one that depends on weather, harbour access or transport ashore. Ask for an alternative plan if that stop is missed. Do not let an assumed supermarket visit silently reduce the provisions carried. The crew should review the proposed menu. A technically complete list has little value if the food is unsuitable, unfamiliar or difficult to prepare when people are tired or seasick.

Take a physical inventory before generating a shopping list. Record each item’s quantity, unit, location, condition and relevant label dates. Mark opened packages separately.

This example illustrates the method; it does not prescribe a reserve for every passage.

Check whether ingredients recur in several recipes. A bag of rice cannot be counted in full for each meal that uses it. Ask for one consolidated ingredient total, with package rounding shown explicitly.

Reserve food should be usable with the equipment and resources available. Avoid making the entire allowance dependent on refrigeration or a complicated cooking process.

Supply the number of burners, available cookware, refrigeration space and practical cooking limitations. Separate meals suitable for settled conditions from those that can be prepared with little handling underway.

AI can build a repeating menu around familiar ingredients and suggest alternatives when an item is unavailable. Review preparation time, washing-up, water use and cooking fuel together. A proposed meal may fit the food inventory while imposing an unreasonable galley workload.

Keep some food accessible without cooking. Allocate meals to watches and crew numbers so that the list reflects who will eat, rather than assuming everyone sits down together.

Food planning affects other resources. Dry ingredients may require cooking water and fuel; chilled supplies depend on refrigeration capacity and the electrical plan.

Ask the assistant to flag these dependencies, using measured consumption where available. Do not accept precise cooking-fuel or refrigerator-energy estimates generated without information about the installation and operating conditions.

Keep drinking-water reserves as an explicit part of the skipper’s resource plan. An attractive menu must not consume water already allocated to drinking or essential uses.

AI Boat Provisioning - Map storage before shopping

Create a locker register with locations the crew can identify, such as “saloon port locker two”. Give each location a practical description: usable space, access, dryness and any restrictions.

AI can allocate supplies among these locations, but the proposed arrangement must be checked aboard. Packaging dimensions, locker shapes and access often make a nominal volume estimate misleading.

Place frequently used supplies where they can be reached without dismantling the boat’s storage. Secure provisions against movement, consider their weight distribution and preserve access to valves, wiring, bilge spaces and safety equipment. Keep food separate from chemicals and fuel.

Record any repacking. Retain product identification, ingredients, allergen information and handling instructions with the contents.

AI can sort stock by recorded dates and suggest which items to inspect or use first. It cannot extend a manufacturer’s storage instructions or determine safety from an inventory entry.

Follow the product label and applicable food-safety guidance. Date-label meanings vary between countries and products; do not let an assistant apply one country’s interpretation to every item aboard.

The FDA food storage guidance recommends refrigerator temperatures at or below 4°C and freezer temperatures at or below −18°C, checked with appliance thermometers. It also explains that food can be unsafe without appearing or smelling spoiled. Use temperature records and appropriate guidance when assessing refrigeration failures.

Inspect packaging physically. Damaged or leaking containers need attention regardless of what the stock record says. Never ask AI to justify keeping suspect food simply because replacing it would disrupt the menu

AI Boat Provisioning - Include non-food consumables

Extend the inventory to cleaning materials, toiletries, rubbish bags, paper products and other supplies used during the planned period. Record quantities and observed consumption instead of relying on a generic “liveaboard essentials” list.

Allow for waste storage as well as the original supplies. Packaging that fits aboard on departure still needs a place after use. Ask the tool to identify opportunities to reduce packaging without losing labels or compromising food protection.

Keep medicines, emergency equipment and regulated supplies within their own checked inventories. A general provisioning calculation should not decide medical suitability or legal requirements.

AI summaries should refer to a single current inventory. Assign responsibility for updating it when supplies are loaded, consumed, damaged or moved.

A simple spreadsheet or written register may be sufficient. AI can help reconcile counts and highlight discrepancies, but it should not silently overwrite uncertain entries. Record when each stock count was checked.

Review the shopping list against the final physical count before departure. Save the inventory, locker map and meal plan for offline use, with a printed copy where useful. The crew should be able to find reserve food and manage remaining supplies without access to a chatbot

Use AI to support provisioning judgment

After a passage, compare planned quantities with actual consumption, leftovers and waste. Ask AI to identify recurring overbuying or shortages, then check whether those patterns reflect crew changes, weather or missed meals.

This feedback develops a boat-specific provisioning routine. Crew members still need to understand portion planning, storage, stock rotation and galley operation. Let them review the calculations and take part in loading and counting.

For unfamiliar destinations, verify supply availability and entry restrictions through current official sources. AI recollection is insufficient evidence that particular food can be imported or purchased locally.

Provide the crew requirements, passage assumptions, verified inventory and storage register, then use a prompt such as:

“Prepare a provisioning plan from the supplied records. Separate the planned passage from the stated delay allowance. Show portions, ingredient totals, pack sizes and verified stock deductions. Propose familiar meals suited to the supplied galley, with simple alternatives for difficult conditions. Flag refrigeration, water, fuel and storage dependencies. Include non-food consumables and a shopping list. Mark missing or uncertain information for checking. Do not invent stock, shelf life, local availability or food-safety conclusions. Keep reserve provisions identifiable and produce an offline inventory and locker map.”

For larger records, a spreadsheet (.xlsx) or CSV file (.csv) is useful for inventories and locker registers. Word documents (.docx), text files (.txt) or readable PDFs (.pdf) can hold crew requirements and passage notes. Check which formats your AI tool accepts. Photographs of labels can supplement the records where image uploads are supported, but check the transcription yourself.

Place the instructions after the pasted records, or identify the attached files explicitly. For example:

"Use the attached Boat_Inventory.xlsx, with its Inventory and Storage sheets, and Passage_Notes.docx, containing crew requirements and passage assumptions. First confirm which files and sheets you can read, identify missing information and check that quantities and units are clear. Then prepare a provisioning plan from these records. Deduct only stock marked usable, keep the delay allowance separate and show the quantity calculations. Do not assume that an unreadable or missing entry represents available stock."
